Workflow Workshop, Sept 22, 2026: From Estimate to Paid Invoice
The person who quotes the work is rarely the person who books it, which is how an estimate ends up as a piece of paper on a bookkeeper’s desk waiting to be keyed in a second time. In this session, Errol and Matas follow one estimate the whole way: built in Method, in QuickBooks the moment it’s saved, emailed to the customer as a link to their own branded portal, and back again accepted with an e-signature attached. From there it converts to an invoice, the customer pays in the portal, and the payment lands in QuickBooks too, without anyone re-typing anything.
They also switch on deposits, so a percentage or flat amount gets collected the second the estimate is accepted, and go through the Estimates app preferences behind all of it: approvals, email templates, and where to put your own logo and colours on the portal. Plus the estimate to sales order to invoice path, what does and doesn’t sync on QuickBooks Online versus Desktop, and why having accepted work sitting in QuickBooks the same day—rather than at month end, or worse, quarter end—is worth more than it sounds.
